MGPA - Volunteering Team Challenge Project Management

The company’s aims were to offer employees the opportunity to spend a day out of the office working as a team on a community project that required the support of volunteers

CCWorks agreed to:

Phase 1: Sourcing

a) Agree a detailed brief with the project leader by e-mail/telephone
b) Source a range of appropriate team challenges for individual teams (for method, see below)
c) Produce a long-list of up to 6 projects with project outlines
d) Consult with the project leader to short-list a choice of two suitable challenges
e) Carry out further research on short-listed projects and present findings to client in the form of a short report and presentation (face-to-face)

Phase 2: Pre-planning

a) Produce a project plan and action list
b) Carry out an on-site risk assessment in advance of the Challenge
c) Act as co-ordinator with the voluntary sector partner
d) Liaise with the Project Leader for materials budget
e) Advise on internal communications to employees
f) Ensure all actions are carried out to enable the Team to turn up prepared to carry out the task by producing a detailed programme

Outcomes

The project was delivered on time, on brief and on budget
Employee feedback was overwhelmingly positive 56% said that the day met their expectations and 33% felt it exceeded their expectations
100% said they wanted to volunteer again
