Tesco - Charitable Trust - Outsourced Grants Administration

Tesco Charitable Trust wished to outsource the administration supporting its Community Awards grants programme, streamline the processes and facilitate reporting

CCWorks introduced the Trust to the Benefactor grants software programme and recommended that the paper-based application procedure should be converted to an online process. CCWorks worked with the Trust and Benefactor to ensure a smooth changeover of systems, launching the new online procedure within twelve weeks of go-ahead from the Trust.

Outcomes
After one year of the new process:

CCWorks manages the Community Awards programme as a complete outsourced service, handling all e-mail and telephone enquiries through a dedicated helpline and producing reports as required.
The Trust also handed over the administration of other donations programmes to CCWorks.
Tesco plc now uses the Benefactor software and CCWorks’ administration support services, to administer the new Community Champions programme.
Reports are now able to be produced across all Tesco community programmes.

"We chose to work with CCWorks rather than one of the large volunteering consultancies as we believed they could deliver our pilot, were flexible in their approach and client-focused. Working with them was a great experience and they delivered in all areas"

"It’s useful to have all the necessary information on one site. It is quick and easy for Santander staff to search for projects, with drop-down menus for further details. It is simple for the Santander administrator to track how many people have reserved and completed the volunteering projects. You can also upload photos of the completed projects, and the feedback forms allow Santander to report on the activities that have been completed "
